Job Summary:
This role will provide program management support to Elligo on all aspects of contract and budget negotiations for internal and external stakeholders/clients. The incumbent will work cross-functionally between various departments, including Operations Finance, Financial Management Systems (FMS), Contracting, Business Development, and Account Management to standardize and streamline processes. Additionally, incumbent will prepare, maintain, and negotiate budgets related to clinical trial activities. This role also serves in an advisor and mentor capacity, training and assisting other analysts on contract and budget negotiations. This role will continue to evolve as the organizational structure matures, to allow for increased focus in the areas listed under the Key Responsibilities.

Responsibilities:
Contract and Budget Negotiation: Complete all budget and contract negotiations for assigned clients, serving as primary point-of-contact and subject-matter-expert for financial contract terms on MSAs, work orders, Clinical Trial Agreements, and amendments.
  • Understand all contract financial impacts for each study.
  • Develop and negotiate client budgets for each study with limited supervision from management.
  • Maintain general knowledge of protocols and prepare amendments of budget and/or contracts as required by sponsors or as requested by principal investigators.
  • Participate in hand-off meetings for all new awards.
  • Ensure any contract amendments are properly updated.
  • Perform final accuracy review of contractual documents on a highly time-sensitive basis and assist in the coordination of the signature process.
  • Manage the ongoing maturity of the business process, to includes the operating model, KPI compilation, review, and analysis.
  • Serve as advisor for general contract and budget negotiation questions as well as client escalation/questions when directed by Director or Associate Director.

Process Improvement and Standardization: Work cross-functionally to develop and maintain standardization of contract negotiations, pricing, and terms across FMS and Elligo at large.
  • Develop standardized QA/QC program for all FMS contract and budget negotiations, expanding scope Elligo-wide as required.
  • Develop guidance documents to streamline budget and contract negotiations and any other needs across the department. Create and maintain SOPs and best practice resources for Clinical Financial Analysts and Contracting staff members, ensuring standardized processes and client service.
  • Provide input and consultation on Elligo’s strategy and processes for contract pricing and negotiations, collaborating cross-functionally to ensure that Elligo and its internal and external stakeholders receive the best financial terms.
  • Develop and implement a formal audit process; participate in audit reviews as needed.
  • Assist in developing and evaluating KPIs for all full and partial clients’ contract and budget negotiation performance.
  • Create and maintain database of current pricing (high-medium-low) by study for reference for all FMS and Elligo staff members.
  • Assist with automation to streamline budget and contract negotiations.

Site Client Management: Develop and maintain successful relationships with assigned site clients. Advise and serve as escalation point and subject-matter-expert on additional sites when directed by Director or Associate Director. Develop SOPs and best practices for FMS team on successful client management.
  • Review and further develop the current client relationship workflow/function; conduct soft skills training, and ongoing client relationship trainings in coordination with Training and QA/QC Manager.
  • Conduct site onboarding upon direction from Associate Director or Director.
  • Provide quality assurance and variance analysis of FMS-negotiated budgets and contracts; recommend strategies for improvement.
  • Identify client needs and challenges, communicate ideas/solutions.
  • Communicate frequently, candidly, and clearly; employ a listen and adapt/pivot approach.
  • Continuously improve processes to meet site needs/requirements.
  • Maintain a general knowledge of all site services Elligo offers.

Other Activities:
  • Make recommendations and implement same for improvements to all processes and systems as is needed.
  • Maintain confidentiality of company information as appropriate.
  • Provide requested information as needed for internal and external audit requests.
  • Provide reports as requested by Finance Executives, Directors, and Managers.

QUALIFICATION AND EDUCATION REQUIREMENTS
  • Bachelor’s in science – Accounting, Finance or Business or equivalent experience.
  • Experience as Site Accountant with clinical research experience preferred.
  • Knowledge of Site or job cost systems or reporting, company or departmental accounting, reconciliations, reimbursable tracking, budgeting, and analysis.
  • Knowledge of general accounting processes a plus.
  • Detail oriented in a fast-paced environment.
  • Works well with team.
  • Organized, workload management.
  • Timeline/deadline tracking.
  • Excellent written and verbal communication skills.
  • Proficient in Microsoft Word, Excel, and Outlook.
  • ​​​​​CTMS (Clinical Trial Management System) experience a plus.
  • NetSuite experience a plus.

Travel Requirements:
Minimal (up to 10%) WORKING CONDITIONS This job operates in a professional office environment. This role routinely uses standard office equipment such as computers, phones, and photocopiers. Some flexibility in hours is allowed, but the employee must be available during the “core” work hours of 9:30 a.m. to 3:30 p.m. and must work 37.5 hours each week to maintain full-time status. Occasional evening and weekend work may be required as job duties demand.
