Proposals Manager

SUMMARY:
The Proposals Manager is responsible for coordinating and executing high-quality proposals that support the organization's clinical research business development efforts. This role partners closely with Business Development, Operations, Clinical Strategy, Finance, and Subject Matter Experts to gather information, develop proposal content, manage timelines, and ensure proposals are submitted accurately and on time.
The Proposals Manager is responsible for driving the proposal development process from opportunity handoff through submission while ensuring consistency, quality, and adherence to company standards. This position supports proposal strategy and content development but is not responsible for final pricing, commercial decisions, or proposal approvals.
ESSENTIAL DUTIES:
- Disperse information and overseeing the production of all the parts of the proposal
- Works with the client to discuss their needs and any issues, ongoing processes, as well as attend necessary meetings
- Prioritizing responsibilities to meet deadlines.
- Editing and revising proposals according to feedback.
- Reviewing products, services, and/or business ideas.
- Creating strategies for convincing others to take appropriate action.
- Coordinate the end-to-end proposal development process for clinical research opportunities.
- Manage proposal timelines, schedules, and deliverables to ensure timely submission.
- Collaborate with Business Development, Operations, Finance, Clinical teams, and subject matter experts to gather required proposal content.
- Develop, edit, format, and assemble proposals, presentations, and supporting documentation.
- Ensure proposal responses are accurate, compliant, and aligned with customer requirements and company standards.
- Maintain proposal templates, content libraries, and standard response documents.
- Coordinate internal proposal review meetings and track action items through completion.
- Incorporate stakeholder feedback and revisions into proposal documents.
- Support responses to Requests for Proposal (RFPs), Requests for Information (RFIs), and Requests for Qualifications (RFQs).
- Track proposal metrics and maintain proposal documentation within applicable systems.
- Identify opportunities to improve proposal processes, templates, and content efficiency.
- Perform other duties as needed
QUALIFICATIONS:
Coordinate and edit proposal input from a variety of sources
Strong time management skills
Strong written English language skills
Ability to work with functional groups and different levels of employees throughout Elligo to achieve business results effectively and professionally.
Proactive and timely follow-up skills: the ability to organize applicable department timelines and follow up with internal and external stakeholder needs as needed.
Clear and concise written and oral communication skills, including the ability to present ideas and suggestions clearly and effectively.
Strong organizational skills: ability to accomplish multiple tasks within the agreed-upon timeframes through effective prioritization of duties and functions in a fast-paced environment.
Proven track record of building and maintaining solid relationships with both internal and external stakeholders.
Self-motivated; able to work independently to complete tasks respond to department requests and collaborate with others to utilize their resources and knowledge to identify quality solutions.
Ability to create compelling presentations that meet clients’ pain points to gain new business.
Knowledge of applicable regulations and standards affecting pharmaceutical and medical device products.
Proven experience supporting the full business development cycle, from opportunity identification and qualification through proposal development and award.
Self-starter and able to work independently and collaborate across different teams to meet company goals and projects.
Flexible in nature to accommodate new program growth and change.
Demonstrated track record of contributing to revenue growth by supporting business development through high-quality, responsive proposals
General and clinical understanding of the Clinical Research/pharmaceutical market
Strong project coordination and organizational skills with the ability to manage multiple concurrent proposals.
Excellent written, editing, proofreading, and formatting skills.
Experience creating polished client-facing documents and presentations using Microsoft Office Suite.
Ability to work collaboratively across cross-functional teams and manage competing priorities.
Strong attention to detail and commitment to producing high-quality deliverables.
Excellent verbal and written communication skills.
Ability to work independently while escalating issues appropriately.
Experience managing deadlines in a fast-paced environment.
Knowledge of proposal management best practices is preferred.
Understanding of clinical research, pharmaceutical, biotechnology, or healthcare industries is preferred.
EDUCATION AND EXPERIENCE:
3 years’ experience in a similar role
Ability to deliver compliant, professionally produced proposals within customer agreed upon timeframes.
Able to communicate at a senior level.
Experience in the healthcare/health research setting is a plus
