Job Summary:
The Office Manager leads the day to day operations of the clinic, overseeing staff, workflow, and administrative functions to ensure a smooth, efficient, and patient-focused environment. This role is the operational backbone of the clinic, managing scheduling, staffing, compliance, and reporting while partnering closely with providers and clinical leadership to keep everything running seamlessly. This is a hands-on leadership role: you're comfortable jumping in wherever the clinic needs support that day.

Key Responsibilities:

Operations & Office Management

  • Oversee daily clinic operations, ensuring efficient patient flow and a well-organized front and back office
  • Manage staff scheduling, coverage coordination, and daily workflow across the clinic team
  • Serve as the first point of contact for staff issues, patient concerns, and day to day operational needs
  • Monitor adherence to clinic protocols, safety regulations, and quality standards
  • Track and report on clinic metrics and KPIs
  • Support inventory management, vendor coordination, and facility needs

Team Leadership

  • Train, mentor, and onboard new front and back office staff
  • Support staff evaluations and contribute to process improvement initiatives
  • Coach and hold staff accountable to performance and documentation standards
  • Collaborate with providers and administrative leadership to optimize patient flow and clinic efficiency

Hands-On Support

  • Assist with front and back office functions as needed, including check-in/check-out, scheduling, and other administrative support to keep the clinic running smoothly
  • Step in across roles as needed to cover gaps and support the team during busy periods

Qualifications:

  • High school diploma or equivalent required; Associate's or Bachelor's degree in a related field preferred
  • Minimum of 3 years of experience in office/practice management or a healthcare leadership role, with at least 1 year in a supervisory capacity
  • Experience in a medical practice or healthcare setting preferred; allergy/immunology a plus
  • Knowledge of EMR systems required
  • Strong interpersonal, organizational, and problem solving skills
  • Ability to handle multiple priorities in a fast paced environment

Physical Requirements:

  • Must be able to stand and walk for extended periods
  • Ability to lift up to 15 pounds and assist with clinic operational needs
  • Specific vision abilities required include close vision, color vision, peripheral vision, and the ability to adjust focus
